1. Overview

This Privacy Policy explains how Cloudkaro ("Cloudkaro", "we", "us") collects, uses, stores and protects personal data when you visit cloudkaro.in or use the Cloudkaro app, including manager hierarchies, task boards, 1:1 chat, contacts and calendars (together, the "Service").

By using the Service you agree to the practices described here. If you do not agree, please do not use the Service.

2. Information we collect

Information you give us

Account details: name, email address, phone number (if provided), password (stored in hashed form), job title and profile picture.
Organization structure: the managers, members and reporting chain you or your team create inside Cloudkaro.
Work content: tasks, descriptions, priorities, deadlines, attachments, comments and board activity.
Messages: content of 1:1 chats between teammates.
Contacts and calendar entries: shared team contacts, meetings and events you add or sync.
Personal notes: private notes you save in your own account.
Support messages: anything you send us when you contact us.

Information collected automatically

Device and browser type, IP address, approximate location derived from IP, and pages visited.
Log data such as login times, errors and feature usage, used to keep the Service running and secure.

Information from connected services

If you choose to connect Google Calendar or Outlook, we receive the calendar data you authorize. You can disconnect these at any time from your account settings or from the provider's own permissions page.

3. How we use your information

To create and manage your account and provide the Service.
To route tasks, chats, contacts and calendar entries to the right people in your hierarchy.
To send service messages such as invitations, task assignments, deadline reminders and security alerts.
To maintain security, prevent abuse and fix bugs.
To understand how the Service is used and improve it.
To comply with legal obligations.

We do not sell your personal data, and we do not use the content of your tasks or chats for advertising.

4. Who can see what inside your organization

Cloudkaro uses role-based visibility:

Members see their own tasks and their own reporting chain.
Managers see their own branch and everyone below them, never above.
1:1 chats are visible only to the two participants.
Personal notes are visible only to you.

Your organization's account owner or administrators may be able to manage users and organization-level settings. Please check with your employer or team admin about their own policies for work data.

We share personal data only in these situations:

Service providers who help us run the Service (for example hosting, email delivery, backups and analytics), bound by confidentiality and data protection obligations.
Connected integrations you enable, such as Google Calendar or Outlook.
Legal reasons, where required by law, court order or to protect rights, safety and security.
Business transfers, if we are involved in a merger, acquisition or sale of assets, with notice to you.

6. Retention and deletion

We keep your data for as long as your account is active or as needed to provide the Service. When you delete your account or ask us to, we delete or anonymize your personal data within a reasonable period, except where we must keep it for legal, tax or security reasons. Encrypted backups may persist for a limited time before being overwritten.

7. Security

We protect data with encryption in transit, scoped role-based access controls and daily backups. No system is completely secure, so we cannot guarantee absolute security, but we work to protect your information and will notify affected users and authorities where the law requires.

8. Your rights and choices

Under applicable law, including India's Digital Personal Data Protection Act, 2023, you may have the right to:

access the personal data we hold about you;
correct or update inaccurate data;
request erasure of your data;
withdraw consent where processing is based on consent;
nominate someone to exercise your rights on your behalf;
raise a grievance with us, and escalate to the Data Protection Board of India if unresolved.

9. Cookies

We use essential cookies to keep you signed in and secure your session, and may use basic analytics cookies to understand site usage. You can block or delete cookies in your browser settings, though parts of the Service may not work without essential cookies.

10. Children

The Service is built for workplace use and is not directed to children under 18. We do not knowingly collect personal data from children. If you believe a child has given us data, contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. When we make material changes we will update the date above and, where appropriate, notify you by email or in the app.
